Power of automation in the transfer credit world
Our university brought the transfer credit course process into the 21st century, by using a combination of policy updates, procedures, and technology. In 2016, Transfer & Transitions Services (TTS) had a vision to automate processes that would decrease the timetable of evaluating transfer courses and posting transfer credits to a student's academic record. Prior to 2016, the process of evaluating transfer courses was a lengthy paper-based procedure that on average would take 3 to 6 months to complete. Therefore, in 2017, a new electronic form was embedded in the university's student information system (SIS). At the same time, additional automation processes were designed and implemented which revolutionized the posting of transfer credits by the Transfer Credit Processing Center. Presently, a process that took an average of 3 to 6 months to complete has been reduced to 3 to 5 days.
In parallel to these advances, TTS suggested to the university’s admissions operations team an optical character recognition software, Brainware, for optimizing the transfer credit posting process. In 2019, the purchase of this innovative tool was approved by the university. Brainware transcribes and extracts information from the academic record (high school/post-secondary institution) of domestic students to SIS. This tool changed a manual process that would take several weeks to a 48-hour semi-automated process. This reduction in processing time has had a positive impact in the number of out of state admitted transfer students and in the proficiency of TTS evaluators. With all these advances to the university’s transfer credit course process, transfer students can review their Transfer Credit Reports within 48 hours after being admitted.
