An Evolution of FERPA Training: Using Technology to Meet our Campus Needs

Have you had to move a training process from a manual process, which was only sparsely used, to a full university faculty and staff training, testing, and compliance model? Join us on our path through 5 years of improvements to Iowa State Universities FERPA training. We started with a hard copy confidentiality agreement, one page guideline, and FERPA PowerPoint slideshow. In 2014 we moved to an LMS based training module with incorporated quiz and confidentiality agreement. Born out of challenges with LMS capabilities, we transitioned through several versions of the training module before arriving at where we are today with a standalone course that reports back to the LMS. Training for FERPA is now required for all employees (faculty, staff and student workers). ISU has worked to enforce our FERPA training by denying access to student information without a passing FERPA score within the last three years. We will discuss:
• The timeline of adding systems secured by the training.
• The communication plan to employees who previously did not need to take FERPA.
• The partnerships formed with university entities to require training as a part of new employee on-boarding.
• Enforcement of systems not directly controlled by the Registrar’s office which contain student information.
We are excited to discuss how other institutions handle FERPA training.
